Position Overview
The Operations Administrator/Coordinator is responsible for ensuring that our customers receive their orders & shipments on time, in full and that their needs and expectations are met on an ongoing basis.
Collaborating with across operational teams and main contact for our customers, you have excellent, multilingual communication skills (English, Cantonese & Mandarin) and you take personal ownership of customer orders.
You are comfortable with technology and have good organizational skills to ensure that all related administrative tasks are completed accurately and in a timely manner.
This is a small business environment, so a willingness to learn, roll up your sleeves and assist where needed is a key to success.
Responsibilities/Accountabilities
- Greet & assist visitors
- Communicate & coordinate with clients, internal team members and other stakeholders
- Plan shipments according to existing schedules and through coordination with drivers, warehouse schedules and production
- Order materials and booking receiving appointments.
- Assist with the management of daily operational activities and other administrative tasks (including accounts payable/receivable
- Contribute towards the achievement of strategic and operational objectives
Requirements
- Speak English, Cantonese and Mandarin, read/write basic Chinese (traditional or simplified)
- Demonstrated ability to learn and perform basic tasks on the computer
- Accuracy with numbers and high attention to detail
- Excellent telephone etiquette and customer service skills
- Ability to work with a sense of urgency, prioritize work and meet objectives/deadlines
- Ability to exercise tact and discretion and to be entrusted with confidential information
- Ability to work independently as well as within a team with minimal supervision.
30-40 hours weekly.
